Position Summary Teach For All is looking for an organized and proactive leader to provide behind-the-scenes support to a diverse group of staff directly supporting our network partners across the globe. The Adminisrative Associate, Partner Engagement (PE) will own the daily administrative work that helps the Partner Engagement Team run smoothly, including the management of calendars, processing and tracking team-wide finances, and planning travel for the PE leadership team. Alongside “being the CEO of administrative support” to the Partner Engagement team, the Associate will also serve as a resource for a wide array of discrete projects that serve the regional teams.. The Associate, Partner Engagement position provides an individual with superior organizational, communication and interpersonal skills an opportunity to serve as a key contributor to our mission in multiple regions. The right candidate is one who has a proven ability to work effectively across contexts and navigate ambiguity with ease, manage multiple streams of work simultaneously, and proactively prioritize. This individual will work out of and be based in either the London, Washington DC, or the New York office and will report to the Director of Strategy and Operations, Partner Engagement. Outcomes The Partner Engagement staff report they have the tools and administrative support necessary to effectively focus on their programmatic work with partners on the annual staff survey. Partner Engagement Team systems enable efficient and routine centralized reporting up from each region such that all centralized reports are on time, well synthesized and easy to interpret. Centralized reports include, but are not limited to: team budget tracking, support trip tracking, and network survey data reports and analysis. Team managers have access to their budget actuals and the Teach For All finance team reports PE expenses are both timely and accurate Projects assigned by the Partner Engagement Leadership team are carried out on time and require minimal editing. Responsibilities Calendar & Travel Management (40%): Supporting the Partner Engagement Team comprised of 18 staff members who are dispersed globally. Driving trip planning and execution (including supporting with international bookings for flights/hotels/ground transit); often involving complex coordination among multiple senior-level staff; coordinating on the ground logistics and devising travel memos for the Partner Engagement Leadership Team. Managing approximately 3 calendars for senior Partner Engagement staff who are spread across time zones Scheduling complex meetings and conference calls across multiple time zones Compiling, drafting and/or editing correspondence to team members, the organization, and external constituents Providing other dedicated administrative support on an as-needed basis Managing Team Finances (20%): Supporting both central and regional based Partner Engagement Team staff by: Owning the creation and submission of monthly expense reports for high-travel staff members (the Leadership team and Regional Directors; ~12 people) of the Partner Engagement Team Helping to develop and track team budgets on a monthly basis for all regions Developing and maintaining systems which track finances of the entire Partner Engagement Team Processing and ensuring timely payment of bills and reimbursements to external organizations Reviewing and revising, as necessary, monthly Partner Engagement Team reports as a part organization-wide financial processes Managing Team Systems (20%): Supporting both central and regional based Partner Engagement Team staff through: Supporting online and hardcopy file management Developing systems that facilitate the ease with which both members of the Partner Engagement Team and broader Teach For All staff can obtain information owned by the Partner Engagement Team (e.g., travel, budget, partnership plans) Developing and coordinating administrative onboarding of new staff members and periodic refresher trainings for current staff members Coordinating logistical support for Partner Engagement team conferences as well as regional retreats where necessary Tracking travel of program staff in regions and incorporating that information into organization wide systems Acting as team liaison to technology, administration and finance support services Supporting the regions in the collection & sharing of data from various organizational databases Project Management and Team Culture (20%): Driving and adding capacity to both global and regional projects to support the team in reaching ambitious programmatic goals; including, but not limited to: Creating and maintaining travel memos (including logistics, partner-specific & cultural information) for Teach For All staff to use when visiting partners Designing and maintaining the Partner Engagement Team’s intranet page Translating and/or drafting key documents/communications Supporting the Senior Associates on a longer-term data strategy for all regions Facilitating & fostering team culture building by organizing logistics for team events, celebrations, and by devising virtual connectivity strategies Managing, authoring, & innovating the Partner Engagement Team’s weekly team newsletter Requirements Bachelor’s degree required Minimum of 2 years of administrative, office management, and/or executive assistant experience required Prior experience as a participant or staff member of one of Teach For All’s network partners preferred Proficiency in Microsoft Suite applications (Word, Excel, Outlook, PowerPoint) and the Internet Fluency in English required; fluency in multiple languages applicable to the region(s) is a plus Knowledge, Skills, and Abilities: Ability to multi-task, independently prioritize tasks and work effectively in a fast-paced, deadline-driven, dynamic, and globally dispersed team environment Desire and ability to learn new tools and technologies needed to maximize efficiency Exceptional written and verbal communication skills Enjoyment of organizing, planning, and logistics and a willingness to support others Adaptable to changing responsibilities Ability to deeply understand multiple local educational contexts quickly as well as Teach For All's unifying principles and theory of change Ability to be strategic and analytical Strong operating instincts, including being very organized and disciplined Ability to deeply understand multiple local educational contexts quickly as well as Teach For All's unifying principles and theory of change Exemplifies Teach For All’s core values: Belief in and a propensity toward seeking transformational change Drive toward constant learning and improvement Embodies mutual responsibility in relationships with partners and teams Reflects a sense of possibility in mindset and vision Work Authorization Candidates for this position must possess local work authorization in order to be considered. Travel and Hours Given that we work across different time zones, some non-traditional hours for early or late night calls are an expectation of this role.
